We are looking for a Trainee to join a successful Freight Forwarder. Working with the Airfreight Team to learn all aspects of the business. Focus initially will be to cover certain accounts and import operation, but the long-term goal is to cover all aspects of the business including all imports including clearance and delivery arrangements.
Training will be given in the below.
· Working within the Air Import Department and being a team player.
· Working within a joint email box
· Taking on new shipments
· Completing Import customs entries
· Arranging deliveries,
· Completing import files start to finish
· Supporting the Import operations team and the Air Import Supervisor
· Completing administrative tasks for other departments where needed (filing, scanning, invoice query chasing)
· Learning all aspects of Air Imports including key accounts and completing the day-to-day operational tasks
· You will be expected to follow strict processes and procedures to ensure that the information provided is complete, accurate and provided by the relevant individual.
Key Tasks and Responsibilities will include:
· Be committed to excellent service quality.
· Liaising with overseas branches and internal customers
· Dealing with internal and external customers on a day-to-day basis.
· Liaise with all new and regular customers on all queries and issues through regular contact by telephone
· Take all incoming calls, and emails from customers for new bookings using appropriate documentation
· Ensure any special requirements or instructions are clearly specified
· Ensuring accurate accruals and cost accuracy.
· Accuracy and timelines of documentation (HAWB/MAWB) ensuring processing meets KPI requirements
· Review all customer instructions ensuring these are understood and followed
· Ensure full understanding and strict compliance to customs processes and procedures
· Accurate and timely management of all mandatory milestone data
· Understanding of the airfreight product including Incoterms
· Responding to customer booking and overseas agents requests
· Research and provide competitive quotations to both internal and external customers and follow to ensure good success rate.
· Entering HM Customs entry procedures (NES).
· Raising sales invoices accurately within agreed KPI timescales
· Developing effective relationships and negotiating with carriers and overseas agents
· Daily / weekly admin duties / Filling/ ETSF inventory checks / audits
· Comply with all relevant work and safety legislation, standards and organisational procedures and UK security regulation.
· Supporting on month end finance.
· To fully understand and be conversant with the standard operating procedures.
About you:
The ideal candidate will be educated in Maths and English (oral and written) to GCSE, Standard Grade or equivalent; grade A-C and be able to demonstrate highly competent computer skills in all areas of Microsoft office.
· High level of accuracy with attention to detail.
· Ability to work under pressure and to tight deadlines.
· Ability to work effectively under own initiative.
· Competent in commercial IT packages including Word, Excel, E-mail etc
· Hard working, diligent with a flexible adaptable approach.
· Good team player.
· Good written and verbal communication skills
Salary is dependent upon qualifications and experience.
Monday to Friday 9am-5.30pm
Due to location Car Driver preferred.
